Dues run

The dues run charges what the tenants have to pay for a period. It is the run that turns the tenancies into receivables every month.

What happens

  1. The period is set – as a rule one month.
  2. The active tenancies are read.
  3. Per tenancy the conditions valid inside the period are kept. A condition that ended before or begins later drops out.
  4. Each condition produces one line with the calculated amount.
  5. If the tenancy or the condition covers only part of the period, the amount is prorated.
  6. The documents are created from the result – a separate step after the calculation.

A change of tenant mid-month needs no special case

Prorating is not an exception but the rule: a tenancy running the whole month gives the factor 1, one starting on the 15th gives the remaining days divided by the days of that month. That is why a change of tenant mid-period can be charged without any intervention – both tenants get their share.

Calculating and posting are separate

The run calculates first and returns the result as a list. Only then are documents created from it. For you that means: you can look at the result before anything is posted – and a run that calculates correctly but fails while posting stays traceable, because the calculation is there.

What can go wrong

A tenancy does not appear

  1. Is it active in the period being charged?
  2. Does it have a condition valid in that period? Without a valid condition there is nothing to charge – the tenancy alone produces no receivable.

An amount is smaller than the agreed rent

Then it was prorated because the tenancy or the condition does not cover the whole period. Check the start and end of both – the condition is the cause more often than the contract.

A condition is charged twice

Two conditions of the same tenancy overlap inside the period. On a rent increase the old condition has to end before the new one begins – otherwise both apply.

The run calculates but no documents appear

Calculation and document creation are separate steps. The result of the calculation is there; the cause lies in the posting step, not in the dues run.
